PRACTICAL VENUE GUIDE
How to manage marriage hall bookings without register confusion
A reliable booking process gives the sales desk, accounts team and venue staff the same answer about every date, hall and payment. Use this workflow to move an enquiry from first call to completed event without duplicate bookings or missing balances.
1. Record every enquiry consistently
Capture the customer name, phone number, event type, preferred date, guest count and required time slot. Do not treat a WhatsApp message as the final record. A searchable enquiry or booking record makes follow-up easier and prevents details from being lost between team members.
2. Check the exact hall and slot
Availability must be checked by date, hall or partition, and time slot. Morning, evening and night events can use the same date without conflict only when their times and setup windows do not overlap. Maintenance closures should appear in the same calendar.
3. Confirm price and booking terms
Show hall rent, security deposit, optional package charges, decoration, taxes, discounts and the final balance separately. Record why a negotiated rent or discount was approved so the invoice and internal ledger remain understandable later.
4. Collect an advance and issue a reference
Once the customer accepts the terms, record the advance payment and provide a unique sequential booking reference. The reference should connect the booking, invoice, payment history and reminder schedule.
5. Prepare the event team
Before the event, confirm the guest count, customer notes, package, staff assignments, suppliers and remaining payment. A shared operational view reduces last-minute calls between the booking desk, accounts and floor team.
6. Close the booking properly
Record final collections, refunds or adjustments against the same booking ledger. Mark the event completed only after payment and operational notes are reconciled. Keep the history for reporting and repeat-customer service.
