PRACTICAL VENUE GUIDE
How to prevent double bookings at your event venue
Double bookings usually happen when availability is split across paper registers, spreadsheets and private messages. Prevention requires one source of truth, clear booking statuses and conflict checks based on the actual resource and time window.
Use one live availability calendar
All sales and operations staff should check the same calendar. If a booking exists only in a notebook or chat, another team member cannot protect that date. Put confirmed bookings, temporary holds and maintenance closures in one view.
Treat halls and partitions as separate resources
Create each independently bookable hall, lawn or partition once. Give it a capacity, active status and calendar colour. When multiple partitions combine into one space, define the relationship so overlapping combinations cannot be sold.
Check date, slot and setup time
A date alone is not enough. Compare the selected morning, evening, night or custom time window, including setup and cleanup buffers. The system should reject any overlap before saving the booking.
Define booking statuses
Use clear statuses such as enquiry, temporary hold, confirmed, cancelled and completed. Decide whether a hold blocks availability and when it expires. Cancelled bookings should remain in history without occupying the calendar.
Prevent duplicate submissions
The Create Booking button should disable while saving and the backend should enforce the same conflict rule. This protects against double-clicks, slow networks and two staff members confirming the same slot at nearly the same time.
Audit changes
Keep an activity trail showing who created, edited, cancelled or restored a booking. When a conflict is questioned later, the venue owner can review the exact sequence instead of relying on memory.
